Exploring your options in Phenom? Wondering about a specific feature? Phenom offers several methods you can use to learn more about its abilities.
If you’re new to Phenom, try the quick-start tutorial. Go to the Help menu, choose Getting Started, and learn all you need to know to collaborate electronically with others using Phenom.
Finding Phenom updates
Updates to your Phenom software become available from time to time. They offer new features and enhancements that you can use once you obtain the updates.
To find updates for your Phenom software, from the Help menu, choose Check for Updates
. If an update is available, follow the on-screen instructions to obtain it.
Getting Online Help
From the Help menu, choose Help.
A browser window displays Phenom online help.

Using Contacts
Contacts are the basis of working with Phenom. They are the people you want to collaborate with electronically, and they must be part of the Phenom network for you to do so. To have people added to the Phenom network, contact your system administrator.
Adding a contact
Phenom maintains a list of everybody who is registered on your Phenom network. To find these people and add them to your list of Phenom contacts, follow these steps.

In the main Phenom window, click the Manage Contacts icon.
The Contact Management dialog appears.

Click the Search button.
A list of Phenom users appears.
To find a specific Phenom user, type that person’s name in the box to the left of the Search button before clicking Search.

Click the name of the person who you want to add to your Phenom contact list
To choose more than one person, hold the Ctrl key as you click the names.
-
Click the Add Selected Contact button.
The person or people you chose now appear as contacts in the main Phenom window, in the “Unfiled” group.
Checking whether a contact is online
Each name in your contact list has a “head and shoulders” icon to the left. If the “shirt” of the icon is blue, the person is online. If the shirt is pink, the person is offline.
Deleting a contact
To remove a contact from your list, follow these steps.

In the main Phenom window, right-click the contact’s name and choose Remove From Contacts.
The Confirm Contact Removal dialog appears.

Click Yes.
The contact is deleted from your list.
Choosing a non-available state
Should you not be available for a period of time, you can alert Phenom contacts of that fact so that they know to call you at another time. The state you set explains why you aren’t available: back in 5 minutes, in a meeting and so forth.
To choose a non-available state, follow these steps

Inviting another contact to join a session
If you see a contact online whom you want to call using Phenom, follow these steps.

In the main Phenom window, right-click the contact’s name and click Start Conference.
To invite more than one person to the conference, hold down the Ctrl key on your keyboard as you click the names of each contact you want to invite.
A Phenom Conference window appears on your screen.
and a notification appears on the other person’s screen.
-
Once the receiver clicks the notification, the session can start.
If the receiver waits longer than ten seconds to accept the invitation, it expires.
-
From the Layouts menu, choose Select Layout and pick the layout you want to use for this session.
The tools you need to communicate with other Phenom contacts appear in the window.
Joining a session
You can join sessions in progress with or without an invitation.
If you are invited to a session, a notification appears on screen. To join the session, click the notification.
If you are aware of a session in progress that you need to join, follow these steps. Note: you need the conference ID number to join a conference in progress.

In the main Phenom window
, click the Join icon

The Join Ongoing Conference dialog appears.

Type the conference ID number in the dialog and click Join.
Once current participants let you in, you have joined the conference.
Participating in multiple sessions at once
You can invite people to join diffe
rent sessions that you hold at the same time. For more information, see Inviting another contact to join a session. Use the instructions once for each separate session you want to open.
You can also join different conferences in progress and participate in each through different windows. For more information, see Inviting another contact to join a session.
Tip: you may want to resize each conference window to make sure that you can keep an eye on each session.
Muting input from one or more participants
To mute the audio from a conference participant, follow these steps.
Removing a participant from a session
If a given contact is no longer participating in the session and you want to terminate that contact’s connection, follow these steps.

In the conference window Attendee List, left-click the contact’s name.
Inviting a contact to download Phenom
To add a contact
to the Phenom network, follow these steps.

In the main Phenom window, right-click the contact’s name and click Invite to Phenom Network.
An email window appears with a generic invitation and web link to a Phenom download.

Type the contact’s email address and any additional messages, then send the message.
The contact will receive your email invitation to the Phenom network.
Exiting a Phenom session
To leave a conference, in the Meeting menu, choose Exit Conference.
To shut down Phenom, click the x in the upper right corner of the main Phenom window.
Using Groups
If you want to order your contacts in the main Phenom window rather than see them all in the same “Unfiled” list, you can organize contacts into groups.
Creating a group
To create a group, follow these steps.

In the main Phenom window, right-click a contact you want to add to a new group and click Move to Group.
The Phenom – Assign Group dialog appears.

Type the name of the new group and click OK.
The new group appears and the contact is part of that group.
Each contact can be part of only one group at any given time.
Assigning a contact to a group
You can assign a contact to a brand new group by Creating a group.
To assign a contact to an existing group, follow these steps.

In the main Phenom window, right-click a contact you want to add to an existing group and click Move to Group.
The Phenom – Assign Group dialog appears.

From the drop list, pick the group you want to assign the contact to and click OK.
The contact is now part of the group you assigned it to.
Assigning security settings to a group
To assign security settings to a group, follow these steps.
Removing a contact from a group
To remove a contact from a group, follow these steps.

Right-click the contact and choose Remove from Group.
The Confirm Group Removal dialog appears.

Click Yes.
The contact moves to the Unfiled group.
You can also remove a contact from a group by moving that contact to another group. For more information, refer to Assigning a contact to a group.
Deleting a group
To delete a group, remove all contacts from that group. For more information, refer to Removing a contact from a group.
Making Phone Calls with VoIP
As part of the complete Phenom secure communications package, you can make phone calls to any phone number with the same high degree of security you expect from other parts of Phenom.
Making VoIP calls is useful when you want to include people in your conference who aren’t part of your Phenom network. If the people you want to include are part of your Phenom network, use audio conferencing instead. For more information, refer to Audio Conferencing.
What is VoIP?
Voice over Internet Protocol, or VoIP, is the routing of voice conversations over the Internet or any other IP-based network. Using VoIP in Phenom, you can call other computers or regular land lines.

Chatting
Email isn’t the only written form of Internet communication. You can exchange quick text messages with one or more other people in real time using Phenom’s chat capabilities.
Starting a chat

To start a chat session with a specific contact, right-click that contact’s name in the main Phenom window and choose Start Conference.

To start a conference without a specific contact, in the main Phenom window, click the Conference icon. You can then click the Invite Contact icon to start a chat session.
Either way, a Conference window appears on your screen and an invitation to a conference appears on your contact’s screen if that contact is online. For more information on the Conference window, see Inviting another contact to join a session.
Online contacts appear as blue icons. Offline contacts appear as pink icons.
Once your contact accepts your invitation, you can send and receive chat messages.
Sending and receiving chat
To send and receive chat messages, follow these steps.

Start a chat (see Starting a Chat).

If you haven’t already done so, from the Layout menu, choose a layout from the Select Layout drop list.

In the Conference window, click the Chat tab.
-
At the bottom of the window, type a text message.
-
When you have completed your message, press the Enter key.
Your message disappears from this text box and appears in the large box above and on the recipient’s screen. Messages to you appear in the large box as well.
You can reply to people’s messages by typing further messages in the box at the bottom of the window.
Formatting chat text
You can choose the font, colour size, indentation and other qualities of the text that you send via chat.
To format chat text, use the toolbars immediately above the text box into which you type messages.
Requesting a file through chat
To request a file through chat, follow these steps.
Sending a file through chat
During a chat, other people may need to see a file you have on your computer. You can quickly send them files using Phenom.
To send files to other people via Phenom chat, follow these steps.

Start a chat.

From the File menu, choose Share File.
The Open dialog appears. It functions like standard Open File dialogs in other Windows software.

Navigate to the folder that contains the file you want to transfer and left-click it.
-
Click Open.
A link to the file appears in the chat window of the people with you in the chat. Once they cli
ck the link and choose a folder, Phenom downloads the file.
Sending an emoticon
Emoticons are letter-sized graphics that communicate mood in text messages, lightening the mood of the message as well. You may want to use them if, in your comments, you want to punctuate the emotion in your words using an icon instead of more words.

In the chat toolbar, click the Insert Image icon.
The Image Editor dialog appears.

In the Image Source field, enter the file name and path of the graphic you want to insert.
The graphic appears in the Preview field to the right. If you want to change the layout of the graphic in the chat text, use the other settings in this dialog.

Sending a web link
Should people in your chat session need to refer to a web page during the chat, you can send them a link to the page using Phenom’s integrated secure browser.
To send a web link, follow these steps.

In the chat toolbar, click the Create Link icon.
The Link Editor dialog appears.

Type the URL in the given text box and click OK.
Going to a web page during a chat

In the Conference Chat window, click the Shared Browser tab.

From the menus, choose File, Open URL.

To end a chat, you need to end the conference. To do so, from the Meeting menu, choose Exit Conference.
E-Mailing
Phenom’s all-in-one communications suite also offers email tools, so you don’t have to start a separate email client while using Phenom.
Starting an e-mail session
To start an email session, click the Peer Email icon in the main Phenom window.
The Phenom Peer Email Client window appears.
Writing e-mail
To write a new email, follow these steps.

In the Phenom Peer Email Client window, click the New Email icon.
The Compose New E-mail window appears.

Complete the To and Subject fields, as well as the main body of the message.
To add names to the To field, click the TO button to the right of the field.
Other fields are optional

Click the Send icon.
Your e-mail is securely sent to the recipient.
Formatting e-mail
You can set the appearance of each message you send, from the font and color for the text to the background image behind it.
To set the appearance of your message, use the toolbars above the main message part of the e-mail main body.
Each icon performs Windows-standard operations. To find out what each one does, position the mouse pointer above an icon and a ScreenTip appears to explain that icon’s function.
Inserting a hyperlink in e-mail
You can make finding information on the Internet easier for email recipients if you insert a hyperlink to that information in your email.

You can send images in e-mail to help you explain your message more clearly.

In the Compose New E-mail window, click the Insert Image icon.

Attaching a file to e-mail
Should you need to send an entire file rather than paste its contents into an email, simply attach it instead.
To attach a file to an email, follow these steps.

In the Compose New E-mail window, click the Add button to the right of the Attachments text box.
An Open dialog appears.

Find and click the file or files you want to send and click OK.
The Sending File Please Wait dialog appears as Phenom prepares to send the file.

Once the progress bar completes its journey from left to right, click OK in the “sending” dialog.

Click the Send icon
The attachments on its way to the recipient or recipients.
Saving a draft e-mail
In some cases, you may want to put an email aside to send later rather than sending it right away. You don’t need to lose your changes if you do put it aside.
To save a draft of an email, in the toolbar, click the Save As Draft icon.
You can view these drafts by clicking the Drafts icon in the Phenom Peer E-mail Client window.
Reading e-mail
When you receive email, you can read it in Phenom.
To read email, in the Phenom Peer E-mail Client window, click Inbox.
A list of messages appears in the left column. The contents of the currently selected message appear to the right.
Forwarding e-mail
If other people need to see an email you received, you can forward it to them.
To forward an email, follow these steps.

In the Inbox, click the message you want to forward.
It appears in the preview pane to the right of the e-mail list.

Click the Forward icon.
-
In the To: line, type the address of the person you want to send this message to.
You can also add a note to the body of the e-mail.

Click Send.
Opening an attachment
When other people send you an attachment in an email messages, you can open the attachment directly from the message.
To open an attachment from an email, follow these steps.

In the message that contains the attachment that you want to open click the link to the attachment.
The Save As dialog appears.

Choose a folder to which you want to save the attachment and click Save.
The Receiving File, Please Wait dialog appears for the duration of the download.

When the progress bar indicates a completed download, click Open.
Your file attachment opens.

When you open an attachment, you can save it to your computer.
To save an attachment, follow these steps.

In the preview pane, click the hyperlink for the attachment.
The Save As dialog appears.

Choose a folder for the attachment and click Save.
The Receiving File Please Wait dialog appears.

Once the progress bar completes its journey from left to right, click either Close or Open File.
The attachment is now in the folder you chose.
Printing e-mail
If you need a paper copy of an email, you can print it.
To print an email, right-click the contents of the e-mail and choose Print.
Your Windows Print dialog appears, from which you can make printing decisions and print the document.
Deleting e-mail
To keep your email inbox at a reasonable size, you can delete messages that you no longer need.
To delete email, follow these steps.

Find and select the e-mail you want to delete.

Organizing e-mail folders
When you have accumulated many emails, it can be easier to track them if you put them into folders according to topics that are relevant for you.

While some people want to know the instant a new message arrives, others prefer to check email manually on their own schedules. Phenom accommodates people from both groups.

Sharing Files
A large part of modern project work involves sharing computer files between project team mates. Phenom includes an easy-to-use file sharing application that you can use to expedite this process.
You can send files from several different places, and you can send files as e-mail attachments as well. This section explains the procedure as it works from the main Phenom window.
Sending a file
To send a file to a Phenom contact, follow these steps.

In the main Phenom window, click the File Transfer icon.
The Phenom File Transfer Session dialog appears.

In the middle column
, find the user or group to whom you want to send a file.
If you don’t see the user or group to whom you want to send a file, click the plus signs next to the icons that appear in the middle column until you do see them.

Right-click that user or group’s ReadOnly or ReadWrite folder and click Upload File.
The Open dialog appears.

Click the file you want to upload and click Open.
The file sits on the Phenom server ready for the recipient to download.
Requesting a file
Once another Phenom user sends you a file, you can download it.
To request a file from a Phenom contact, follow these steps.

In the main Phenom window, click the File Transfer icon.
The Phenom File Transfer Session dialog appears.

In the middle column, find the folders of the user who posted files you need.
If you don’t see your user folders, click the plus signs next to the icons that appear in the middle column until you do see them.

Right-click that user or group’s main folder
The file appears in the list to the right.

Right-click the file and click Save As.
The Save dialog appears.

Select the folder to which you want to save the file and click Save.
The file sits on the Phenom server ready for the recipient to download.

The Phenom Options dialog appears.

Starting the secure browser (Secure Browse button)
To start Phenom’s secure browser, from the main Phenom window, click the Secure Browse icon.
The SecureWeb window appears.
Visiting a Web page
To visit a web page, follow these steps.

From the SecureWeb window File menu, click Open Url.
The Open URL dialog appears.
URL stands for Uniform Resource Locator, the text you type into a web browser’s address bar when you want to visit a specific web site. (e.g. www.seamlessp2p.com)

Type the web address in the dialog and click OK.
The SecureWeb window shows the page.

The new window appears in a new tab initially labelled “No Title.”
To close a browser window, click the X near (not at) the top right corner of the window.
Browsing as a single user
You don’t need to engage in a conference with other Phenom users to browse securely using Phenom.
Browsing as a group
To view websites with other Phenom users, follow these steps.

While in a Phenom conference, click the Web Browser tab.From the File menu, choose Open URL.
The Open URL dialog appears.

Type the URL of the site you want to visit and click OK.
The site appears in the Secure Web browser window.
Blocking popups
You can prevent popups on web sites from annoying you as you browse the Web. Note that some web sites use popups as deliberate parts of the experience they offer, so you may need to turn off popup blocking at times.
To block popups within Phenom, follow these steps.

In the SecureWeb window, from the Tools menu, click Options.
The OptionsForm dialog appears.

In the Popup blocker filter level section, choose the level of popup blocking you want and click OK.
Showing/hiding script errors
To choose whether to view script errors
, follow these steps.

In the SecureWeb window, from the Tools menu, click Options.

In the Sripts section, check the box if you want to hide script errors. Otherwise, leave the box unchecked
Printing a Web page
You can print any page that you see in Phenom.
To print a web page that is in the SecureWeb browser, follow these steps.

From the File menu, choose Print.
Your computer’s Print dialog appears.

Choose the settings you want for this printout and click OK.
Whiteboarding
In a conference session, you can draw lines and shapes on a “whiteboard” to supplement the other forms of communication (text, audio and video) that Phenom provides.
Drawing an object
To draw an object in a Phenom conference, follow these steps.

In the Phenom chat window, click the Whiteboard tab.
The Chat window becomes the whiteboard.

Use the icons in the whiteboard toolbar to draw and manipulate objects.

Deleting an object
You can delete one, several or all objects in a whiteboard session.
To delete objects, follow these steps.

Click the object you want to delete.
You will know that you have selected the object if “handles”, or small squares, appear on it.

Click the Clear object icon.
The object disappears.
To erase more than one object at a time, hold the Ctrl key on your keyboard as you select the objects you want to erase.
Editing an object
You can change attributes of each object that you draw. Attributes include the object’s shape, size, color and line width.
To change an object’s attributes, follow these steps.

Click the object that you want to change.
“Handles”, or small squares, appear on the chosen object.
-
To change the object’s shape or size, drag handles to other points on the whiteboard.
-
To change an object’s color or line width, click the Properties icon.
The Properties dialog appears.

To change the object’s color, click the button containing an ellipsis (…) to the right of the dialog.
The Colors dialog appears.

Change the color of the object’s border to the one you want and click OK.

To change the line width of the object’s borders, click the Pen Width drop list in the Properties dialog.

Once you have made the changes you want, click OK.
The object takes on the appearance you have just set.
Resizing an object
To resize an object, click it so that handles, or small squares, appear along its borders, then drag the handles to reshape and resize the object.
Moving an object
To move an object, click it so that handles, or small squares, appear along its borders, then drag the object (NOT any individual handles) to another area of the whiteboard.

Loading a graphic file
To put a graphic file into the whiteboard, follow these steps

Open a Windows Explorer folder or other application that allows dragging and dropping of graphics.

Position the graphic application and Conference windows so that you can see both on screen at the same time, i.e. neither one covers up the other.

Find the graphic you want to insert into the whiteboard.

Drag that graphic from the graphic application and drop it into the Whiteboard.

Audio Conferencing
You can speak to people within a Phenom conference without leaving Phenom to do so.

Capturing and streaming are technical terms for recording your voice and sending it over the internet.
Choosing an audio capture device
Your computer may offer several devices that you can use to take your voice and send it to other conference participants. The most common type of audio capture device is a microphone, usually attached to a computer or a headset.

Screens appear, one for each participant in the conference, featuring a “Push to Talk” button, much like that on a walkie-talkie. You can now hear any audio transmitted over the conference. Also, if other people have video cameras attached to their computers, you can see them as well in the screens.

To add your voice to the conversation, click and hold the Push to Talk button.
While you hold it, the label changes to TX.
To hear what others are saying, release the TX button.

Video Conferencing
Phenom allows people in geographically distant locations to work together in a secure electronic environment. To personalize that environment, Phenom offers conference participants the ability to see one another as they work together on webcam-equipped computers.
Capturing and streaming video
Capturing and streaming are technical terms for recording video and sending it over the Internet.
Receiving streaming video
To receive streaming video, In the Conference window, click Audio/Video.
Screens appear, one for each participant in the conference, featuring a “Push to Talk” button, much like that on a walkie-talkie. You can now hear any audio transmitted over the conference.
If other conference participants have video cameras attached to their computers, you can see them as well in the screens. They will see you if a camera is connected to your computer and pointed at you.

Using a snapshot for the video source
Video broadcasts take up more bandwidth than other forms of communication in Phenom. If you prefer to conserve bandwidth for voice, whiteboard, and other Phenom activities, you can use a photo of yourself instead of a video image for the video conferencing.

Choosing the size of video to send
You can determine the size of video image to send to conference participants. For conference participants who have slower Internet connections, you can help them by transmitting smaller images which take up less bandwidth.
To set the video size, follow these steps.

From the popup menu, choose Video Size, then set the size of video you want to transmit.
Moving a video stream around your screen
You don’t need to keep a video image in the same part of your Phenom window, or even inside your Phenom window.

Phenom works according to preferences set when the software was created. You can change the way Phenom performs in several ways to tailor it to your own preferences.
None of these settings are permanent. You can change them at any time.
Changing Skins
You can change the skin (look and feel) of the Phenom window.
To change skins for Phenom, from the View menu, choose Skins, then the name of the skin you want.
Phenom takes on the appearance of the skin you choose.
Getting More Skins
Your copy of Phenom was installed with a standard selection of skins. If you would like more choice in skins, you can download others from Seamless P2P, makers of Phenom.

You can use any sound device inside or connected to your computer, such as speakers or headphones.

Directory locations appear to the right of the icon.

The Folder Select Example dialog appears.

Your file transfer folders are now set.
Changing your Password
The first time you use Phenom, your Network Administrator gives you a login and password.
For security’s sake, it's a good idea to change your password right away and at regular intervals thereafter, as suggested by the administrator or at least once or twice a year.
To change your password, follow these steps.

Customizing Menus and ScreenTips
You can control how much of each menu appears, how quickly full menus appear, and the animation style for how menus appear.
To customize your menus, follow these steps.

Creating a New Toolbar

Deleting a Toolbar
You can delete a toolbar you created to remove it permanently from Phenom.
If you might like to use this toolbar in the future, don't delete it. Instead, hide it by clearing the check box to the left of the toolbar name.
Note: you can't delete the two reserved toolbars: Main Menu and My Bar.

Adjusting Window Size
